(Multi-Seat Subscriptions) Email Notifications

At manage.techsmith.com, you can view and manage your Direct orders (multi-seat subscriptions purchased via the sales team) for these cloud products:

When you purchase, update, or return a multi-seat subscription, we send an email confirmation to your billing and/or shipping email address. Also, you receive an email notification when your subscription is about to be auto-renewed or expire.

Multi-Seat Purchases and Renewals

You receive a confirmation email whenever you place an order to:

Purchase a new subscription

Auto-renew a subscription (this order is placed automatically on the renewal date if the subscription has auto-renewal on)

The confirmation email is entitled "Thank you for your order", is sent to your billing and shipping email addresses, and has a PDF copy of the invoice attached.

In manage.techsmith.com > Direct orders > Invoices, you can do one of the following:

  • Send a PDF copy of the invoice by email to yourself or anyone else.
  • Download a PDF copy of the invoice to your device.

When you make a multi-seat purchase with a purchase order, you can pay the invoice with a check, wire transfer, or credit card for 30 days after the purchase.

If five days remain until the invoice due date, and we have not received your payment yet, you receive an email reminder. Another reminder is sent one day before the invoice due date. 

The email reminders are entitled "Important! Your payment is due in 5 days/1 day", are sent to your billing and shipping email addresses, and have a PDF copy of the invoice attached.

When you make a multi-seat purchase with a purchase order, you can pay the invoice with a check, wire transfer, or credit card for 30 days after the purchase.

If we do not receive your payment by the invoice due date, you receive an email reminder. The email reminder is entitled "Important! Your payment is 1 day overdue", is sent to your billing and shipping email addresses, and has a PDF copy of the invoice attached.

If we do not receive your payment by the 15th day after the invoice due date, you receive another email reminder. The email reminder is entitled "Final notice! Your payment is 15 days overdue", is sent to your billing and shipping email addresses, and has a PDF copy of the invoice attached.

When you make a multi-seat purchase with a purchase order, you can pay the invoice with a check, wire transfer, or credit card for 30 days after the purchase.

If you choose to pay the invoice with a check or wire transfer, you receive a confirmation email.

The confirmation email is entitled "Your payment was processed", is sent to your billing and shipping email addresses, and has a PDF copy of the invoice attached.

Auto-Renewal for Multi-Seat Subscriptions

When you turn auto-renewal on or off for a multi-seat subscription, you receive a confirmation email.

The confirmation email is entitled "Auto-renewal status was updated for your subscription" and is sent to your shipping email address.

We cannot specify how the auto-renewal status was changed (whether it was turned on or off), just that it was changed.

If auto-renewal is turned on for your multi-seat subscription, 30 days before auto-renewal, you receive an email reminder.

The email reminder is entitled "Your subscription will be renewed on <date>" and is sent to your shipping email address.

If auto-renewal is turned on for your multi-seat subscription, at the start of the new billing month or year, your subscription is renewed automatically. After this, the system tries to process the auto-renewal payment on your primary credit card.

If the payment fails (for example, due to insufficient balance or incorrect credit card details), you receive an email notification.

The email notification is entitled "Important! Your payment failed", is sent to your billing and shipping email addresses, and has a PDF copy of the invoice attached.

Expiration of a Multi-Seat Subscription

If you turn off auto-renewal for your multi-seat subscription, or if auto-renewal is unavailable (for example, because the subscription was purchased with a purchase order), your subscription is set to expire at the end of the current billing month or year.

You receive a few email reminders about the upcoming expiration.

The email reminders are entitled "Your subscription will expire in 30/15/7/1 day(s)" and are sent to your billing and shipping email addresses.

To prevent your subscription from expiring, you can turn on auto-renewal or renew the subscription early.

On the last day of the current billing month or year, you receive an email reminder that your multi-seat subscription may expire today.

The email reminder is entitled "Your subscription may expire today" and is sent to your billing and shipping email addresses.

If the subscription auto-renewal is on, please disregard this email.

If the subscription auto-renewal is off or unavailable, you can renew your subscription manually on this day or for 30 days after the expiration.

Multi-Seat Cancelations and Returns

If you contacted our sales team to return a multi-seat product with a refund, or if you canceled renewal for the product without a refund, you receive a confirmation email.

The confirmation email is entitled "Product in your subscription is active until <date>" and is sent to your shipping email address.

If you contacted our sales team to return all products in your multi-seat subscription with a refund (or to cancel them without a refund), you receive a confirmation email.

The confirmation email is entitled "Your subscription is active until <date>" and is sent to your shipping email address.

If according to the TechSmith Return Policy, you are entitled to a refund for the returned multi-seat product, you should receive the refund in 3–5 business days.

After our team transfers the refund to your credit card, or via a check or wire transfer, you receive a confirmation email.

The confirmation email is entitled "Your refund was processed" and is sent to your billing and shipping email addresses.

Ownership Transfer

When an owner of a multi-seat subscription clicks Manage ownership and enters the email of the person who should become the new owner, this person receives an email invitation entitled "Invitation to manage a subscription."

Seat Management

When a subscription owner adds a person as a seat manager using their email address, this person receives an email invitation entitled "Invitation to manage seats."

When a subscription owner or seat manager assigns a seat to a person using their email address, this person receives an email invitation entitled "Your <product> subscription."

Frequently Asked Questions

At your billing and/or shipping email addresses, you receive email notifications about most updates to your multi-seat subscriptions. We do not send email notifications in the following events:

Multi-seat purchases and renewals

  • After a purchase was made with a purchase order, the invoice was paid with a credit card. See Pay with a credit card section in a different article.
  • Credit card error occurred while an order is placed to create, update, or renew a subscription. See (Multi-Seat Subscriptions) Handle a Credit Card Error.
  • Payment was canceled (for example, because it was made by mistake or for an incorrect amount).

Ownership transfer

  • Subscription owner canceled the invitation before it could be accepted or declined.
  • Person selected as the new owner accepted or declined the invitation.

Seat management

  • Subscription owner or seat manager revoked a seat assignment.
  • Product access was removed, for example, because of overdue payment on an invoice. Product access was restored.
  • End users cannot access the product because seat assignments expired or were put on hold.
  • Seat manager resigned by themselves or was removed by the subscription owner.

Multi-seat account and payment methods

Sorry, we do not send email notifications about any multi-seat account or payment method updates:

  • Account was created, updated, canceled, or deleted.
  • Tax-exempt status was updated.
  • Account was blocked, for example, because of overdue payment on an invoice.
  • Payment method was added, updated, or deleted.

Most email notifications about multi-seat subscription updates are sent to both billing and shipping email addresses. See (Multi-Seat Subscriptions) View, Edit, Delete an Account.

in direct orders, on the subscription page, you can view the details of your account for multi-seat purchases, including your billing emails address and shipping email address

The following email notifications about multi-seat subscriptions are sent to your shipping email address only:

  • You turned auto-renewal on or off for your subscription.
  • 30 days remain until the subscription auto-renewal date.
  • You returned or canceled a product.
  • You returned or canceled all products in a subscription.

The following email notifications about subscriptions are sent to the primary email address associated with your TechSmith account:

  • You were invited to become the subscription owner (for multi-seat subscriptions only).
  • You were invited to become a seat manager.
  • Subscription owner or a seat manager assigned a product seat to you.

After you place an order to create, update, or renew your multi-seat subscription, an email confirmation with a PDF copy of the invoice is sent to your billing and shipping email addresses.

In manage.techsmith.com > Direct orders > Invoices, you can do one of the following:

  • Send a PDF copy of the invoice by email to yourself or anyone else.
  • Download a PDF copy of the invoice to your device.
