Assign and Revoke Seats

In manage.techsmith.com > Seats, you can manage who can access the products purchased on a subscription basis:

Assign a Seat

To grant product access to a person, you need to assign a product seat by using their email address or generating an access link.

  1. Visit manage.techsmith.com and sign in to your TechSmith account.
  2. Select Seats.
  3. (If you have multiple subscriptions) In the subscription selector, click a subscription that contains the product for which you need to allocate seats.

    If you are the subscription owner, you can also open the seat management page from the Dashboard or the Subscriptions page. For this, click the product menu (product menu icon) and select Manage seats.

  4. Select the product for which you need to assign seats.
    In the product card, the number of the Total seats reflects the number of persons who can use this product. In this example, out of the five Assets for Camtasia seats, one seat is Assigned, and four seats are Available (can be assigned).

    If the number of seats is N/A, the system needs a bit more time to retrieve the information. Try refreshing the page after a couple of minutes.
  5. Make sure that there are enough Available seats left.
    If the number of available seats is too small, choose one of the following:
  6. Enter the email addresses of the persons who need access to the product. Separate the email addresses by a semicolon (;), comma (,), or space ( ).
    Examples:
    jackie.s@company.com; charlie.d@company.com
    jackie.s@company.com,charlie.d@company.com
    jackie.s@company.com charlie.d@company.com

  7. Click Add, and then click Assign seats.

    It may take a few moments to assign the seats. Do not close the browser window until the assignments are completed.

After this:

  • The person receives an email notification about the assigned seat.

  • If the person signs in to manage.techsmith.com, they can view the link to product on their Available products page.
  • On the Seats page, you can view the assigned seats and the updated number of available seats for this product.

    If the number of seats is N/A, the system is in the process of assigning seats or needs a bit more time to retrieve the information. Try refreshing the page after a couple of minutes.

  4. Select the product for which you need to assign seats.

  5. Make sure that there are enough Available seats left.
    If the number of available seats is too small, choose one of the following:
  6. Click Get access link.

  7. Copy the invitation and link to clipboard, and then share them with anyone who needs to use the product. The link remains valid for 30 days.

When a person clicks the link that you provide, they are directed to the product page where they need to sign in to their TechSmith account or create one. After this:

  • The seat is assigned automatically, and the person can start using the product.
  • On the Seats page, you can view the emails of the persons who “claimed” a seat, as well as the updated number of available seats for this product.

Revoke a Seat

If a person does not need to use a product anymore, as a subscription owner or seat manager, you can revoke the seat, and then assign it to someone else.

  1. Visit manage.techsmith.com and sign in to your TechSmith account.
  2. Select Seats.
  3. (If you have multiple subscriptions) In the subscription selector, click a subscription that contains the product for which you need to revoke seats.

    If you are the subscription owner, you can also open the seat management page from the Dashboard or the Subscriptions page. For this, click the product menu (product menu icon) and select Manage seats.

  4. Select the product for which you need to unassign seats.

  5. Next to a person’s email, click Remove (icon of the remove button).

  6. Confirm that you need to revoke the seat for this person.

  7. Notify the person that they cannot access the product anymore.

You can assign the now available seat to another person. See the Assign a Seat section in this article.

Frequently Asked Questions

If a seat assignment has the Error status, it could not be assigned to the user. One of the possible reasons is that you tried assigning a seat using an email address, but there are no available seats left.

You can choose one of the following:

  • Refresh the page, so that the user’s email with the Error status disappears from the page. Then revoke an assigned seat and assign it to someone else.
  • If this is a multi-seat subscription, you can purchase additional seats. See (Multi-Seat Subscriptions) Purchase Additional Seats.

If an error occurred while you have enough available seats left, please contact our Customer Service team.

This may occur if you assigned a seat to a person, but after this, the person deleted their TechSmith account.

The person can no longer use the product, so you are recommended to revoke the seat, and then assign it to someone else.

Seat assignments may be put on hold in two cases:

  • Subscription expired.
  • Access to the multi-seat product was removed because the subscription owner has an overdue invoice.

In both cases, you can view information about the assigned seats. However, you cannot revoke or assign seats. Also, the persons with assigned seats cannot use the product.

Subscription expired. As a result, end users cannot access the product(s) in the subscription.

  • If this is a one-seat or multi-seat subscription that was purchased with a credit card, on the Seats page, the expired subscription is not available, and you cannot view or manage seat assignments. 
  • If this is a multi-seat subscription that was purchased with a purchase order, on the Seats page, you can view and manage seat assignments.

To make the product available for end users again, as a subscription owner, you can:

Access to the multi-seat product was removed because the subscription owner has an overdue invoice. See (Multi-Seat Subscriptions) Restore Access to Product.

on the seats page, a multi-seat product may have the access removed label. A hint appears, saying that sorry, all seat assignments are on hold. Please make sure that all invoices for this multi-seat product are paid. For more details, contact the TechSmith team at www.techsmith.com/contact.html

Most probably, your subscription expired, and information about seat assignments is no longer available. To get a new subscription, visit the online store or contact Sales.

Another possible reason is that you are no longer a seat manager for the subscription. See Become or Resign as a Seat Manager.

Sorry, your changes to seat assignments (assigning or revoking seats) are not saved on the History page under Online store orders or Direct orders.

When you assign a seat to a person using their email address, they receive an email notification.

However, the person does not receive any email notifications when they claim a seat using an access link, or when their seat is revoked.

When you select Seats and open the subscription selector, the subscription you are looking for may not be on the list.

Possible reasons:

  • Subscription was canceled or deactivated.
  • Subscription was purchased with a credit card and expired.
  • Multi-seat subscription was purchased with a purchase order and expired more than 30 days ago.
  • You are neither the owner nor a seat manager for the subscription.

Yes, both links—the old and the new one—remain valid and can be used to "claim" a seat.

If the access link is not valid anymore, the following page opens.

page that says sorry,your link isn't working becauise it is incorrect or expired. Please contact the person who shared the link with you

Possible reasons:

  • There are no available seats left (all seats are assigned).
  • The link is incorrect (for example, the link has a typo or is incomplete).
  • The link was generated more than 30 days ago and has expired.

No, only the subscription owner and seat manager have access to the Seats page. The TechSmith team cannot view or manage seat assignments.
